Taking time to plan for continuous improvement provides student success teams with the opportunity to consider process strengths and opportunities for improvements to guide the plan for the upcoming school year. This process requires a technical infrastructure capable of generating reports that provide data on intervention assignments, able to pull specific and holistic variables, and highlight patterns, while also using system capabilities to process team agendas, notes, and professional learning sessions materials to make recommendations to better leverage technology or create sample professional learning materials. By completing the Optimal Infrastructure Checklist, teams can improve the amount and quality of data available to improve strategies while utilizing technology to assist in developing the next year’s professional learning opportunities.

Technical Infrastructure

Before diving into the processes involved in planning for continuous improvement, we encourage your team to ensure your technical infrastructure is ready for this effort. In the case where you aren’t sure, this checklist will generate a set of questions you can ask the district or provider for clarity. In the case where you know the system(s) cannot do something, this checklist offers considerations for building workaround solutions.

Data Integrity & Governance

Is your system set up to enable entry and display of intervention data, including, assignment, recommended dosage, actual dosage, and impact data?

Intuitive Insights & Dashboards

Is your system set up to facilitate aggregation and access to artifacts and reports regularly used by student success teams during meetings to support synthesis and discussion?

Workaround Option 1:
If the system has not been set up to quantify or qualify the use of embedded features, documentation, specific tools and reports, create a brief survey for the student success team and other regular system users and administrators to capture reflections about frequency of use, quality of use, experience as a user, gaps/needs, and opportunities. Make the prompts specific to the protocols and processes established at the outset.
Workaround Option 2:
If the majority of the processes and protocols were set up outside of the system—either because the system did not support them adequately or because users preferred to plan, assign, and monitor using templates of their own design—explore what tracking is available to reference to better understand how users engaged. Create a brief survey for the student success team and other regular system users and administrators to capture reflections about frequency of use, quality of use, experience as a user, gaps/needs, and opportunities. Consider what aspects of the work aren’t captured by the system and consider steps to integrate them into the system in the future.
Ai-enabled workaround:
If the district has a closed and secure AI tool and allows the upload of student identifying information and data, allow the AI tool to “crawl” folders (provde links and ask the AI to examine contents) of shared tools, artifacts, reports, used by the student success team over the course of the year. Provide the AI with clear information about what should be included in the folders, what specific forms are used for, the value of specific reports. If the metadata for the shared resources is available (e.g., when changes were made, who made them, how many times things were accessed), prompt the AI to evaluate that as well. Prompt the AI to provide a qualitative and quantitative analysis of what is in the folders and information about the use and users. Prompt the AI to explain the steps taken to compile the data and to share any inconsistencies, risks, or issues with the data and how they have been resolved or attended to in the summary. If any of the explanations are not clear or do not make sense, prompt the AI to alter the approach it takes to analysis. If the analysis is rerun, prompt the AI to call out the specific changes in each iteration from the prior version(s). Remember to at least spot check the data against the source data to ensure accuracy. Ensure responsible use of AI by referring to the Considerations for AI Use section of this playbook.
